Private Gymnasium Hire

Whitehall Gymnastics Club offers private hire of our fully equipped gymnastics facility in Colchester.

Your booking gives you exclusive use of the gymnasium for one hour, with up to 12 people in total, including participants and spectators.

Access to additional facilities, including our kitchen and viewing gallery, may also be available by prior arrangement.

Please note that private gym hire is not available for birthday parties or similar celebrations. Separate party packages are available.

Private Hire Includes

• 1 hour of exclusive use of the gymnasium

• Maximum of 12 people, including spectators

• Access to toilets and changing facilities

• Use of the sound system

• On-site parking

• A member of staff on site for facility and safety oversight

Private hire is unstructured facility use and does not include coaching, coach-led activities or organised gymnastics sessions.

 

Safety & Facility Rules

To ensure the facility remains safe and enjoyable for everyone:

• The person making the booking will be considered the responsible person for the group.

• The responsible person must supervise their group appropriately throughout the booking.

• All facility and safety rules must be followed.

• A member of staff will be available on site and may intervene if equipment is being used unsafely.

• Any toys or equipment used must be returned to their correct place at the end of the session.

• The gymnasium must be left clean, tidy and in an acceptable condition.

• Appropriate sports clothing must be worn.

• All jewellery must be removed before entering the gymnasium.

• Outdoor shoes must be removed before entering the gymnastics area.

• Buggies and prams are not permitted inside the gymnasium and should be left in the designated area.

• Food and drink must not be taken onto the gymnastics equipment or training floor unless specifically permitted.

Whitehall Gymnastics Club reserves the right to end a booking if participants are using the facility or equipment in an unsafe, inappropriate or damaging manner.

 

Maximum Capacity

The standard maximum capacity is 12 people in total, including participants and spectators.

Bookings exceeding this number must be agreed with us in advance. Additional charges and staffing requirements may apply.

Anyone attending above the agreed capacity without prior permission may be refused entry and additional charges may apply.

For larger bookings, events or performance displays, please contact us before booking so we can discuss your requirements.

 

Booking Times

Bookings are for one hour.

Please ensure your group is ready to leave the facility at the end of the booked period.

Where a booking runs more than 10 minutes beyond the allocated time, a late charge of £10 per additional 10 minutes may be applied.

Weekday Hire: £55 per hour
Up to 12 people

Evening Hire: £70 per hour
Up to 12 people

Additional charges may apply for larger groups, additional staffing or use of additional areas of the facility.

 

Additional Options

Viewing Gallery

Use of the upstairs viewing gallery can be added for £50.

This additional charge contributes towards:

• Additional staffing requirements

• Additional toilet facilities

• Cleaning of the upstairs areas

• Increased spectator use of the building

Events & Performance Displays

Bookings involving spectators, performances or organised events may be subject to an additional £30 cleaning fee.

Please contact us before booking an event so that we can confirm capacity, staffing and facility requirements.

 

Terms & Conditions

By booking private gymnasium hire with Whitehall Gymnastics Club, you agree to the following terms.

Payment

Full payment is required to confirm your booking.

A booking is not secured until payment has been received.

​

Cancellations & Rescheduling

Private hire bookings are non-refundable unless Whitehall Gymnastics Club is unable to provide the booked facility.

If you need to change your booking, we may be able to reschedule it where:

• At least 48 hours' written notice is provided; and

• We are able to reallocate the original booking slot.

Where a reschedule is agreed, the replacement booking must normally take place within one calendar month of the original booking date.

Medical Conditions

Participants are responsible for ensuring that they are physically able to take part in activities within the gymnasium.

If you or your child has an existing medical condition, injury or other concern that may affect participation, we recommend seeking appropriate medical advice before attending.

​

Whitehall Gymnastics Club staff are not medically qualified to determine whether participation is suitable for an individual.

​

Responsibility & Safety

The person making the booking is responsible for the appropriate supervision and behaviour of their group.

Participants must follow all safety instructions, facility rules and any directions given by the member of staff on site.

Gymnastics and physical activity carry an inherent risk of injury. Participants should only use equipment and attempt activities that are appropriate for their ability and experience.

Nothing within these terms is intended to exclude or restrict any liability that cannot legally be excluded or restricted.

Damage to the Facility

The responsible person must ensure that the building, equipment and facilities are treated appropriately.

Whitehall Gymnastics Club reserves the right to charge for deliberate or negligent damage caused to the facility or equipment during a booking.

Behaviour

We reserve the right to ask any individual to stop participating or leave the premises where their behaviour:

• Places themselves or another person at risk;

• Causes damage to the facility or equipment;

• Is abusive, threatening or inappropriate; or

• Repeatedly disregards instructions from staff.

No refund will normally be provided where a booking is ended because of inappropriate or unsafe behaviour.

Unforeseen Circumstances

If Whitehall Gymnastics Club is unable to provide your private hire booking due to circumstances outside your control, we will offer either:

• An alternative booking date; or

• A refund of the affected booking fee.

Cleaning

The facility should be left in a clean and tidy condition.

General cleaning equipment, including a vacuum, mop, broom and wet-floor signs, is available if required.

For larger bookings, events or bookings involving spectators, an additional cleaning charge may apply.
